Position Summary:
This person’s principle responsibilities include supporting the Sales Coordinator (SC), Regional Sales Managers (RSM’s) and the VP of Sales to ensure a very high level customer satisfaction in terms of order processing and shipping, as well as to perform other administrative tasks that will be required from the Sales team.
This person will be expected to be fluent in the products and develop relationships with all of the Company’s brokers, distributors, trucking companies and other key sales contacts and ensure that they receive the materials and information they request.
This person will also handle and track online and phone orders for small wholesale customers.
This person will be required to be the back up person for the SC, in terms of all of the SC’s principle day-to-day responsibilities.

Specific Responsibilities:
Act as support to entire sales team as requested
w Coordinate all mailings to brokers, distributors and retailers.
w Maintain accurate and complete Price Lists.
w Assist Marketing in trade show preparation and follow up.
w Develop and maintain customer master spreadsheets by region and class of trade
w Calculate EOM sampling costs and report to VP of Sales and Controller by 2nd ea. Mo.
w Canvass customers regularly to determine customer satisfaction via phone and e-mail.
w Respond to online inquiries.
w Call online and direct customers for repeat orders and to offer further service.
w Cold call small prospective new customers.
w Assist Marketing with management of demos
w Assist VP of Sales with preparation of reports and presentations as needed.
Order Processing:
w Act as a point of contact for all customers for product and sales service questions & requests
w Receive customer purchase orders and review to ensure accurate pricing, all items regularly ordered by customers are included on orders and order quantities meet shipping requirements.
w Confirm all orders to the customers in writing.
w Accurately enter all orders into computer O/E system the day they are received and relay pertinent information to all other departments.
w Convert Sales Orders to Invoices upon confirmation from Shipping Dept./Warehousing partners that order has been shipped, making any necessary corrections to order before converting to invoice.
w Produce printed copies of invoices on the shipping date and forward copies of invoices, sales orders, purchase orders & shipping proof to Accounts Receivable Manager who forwards copies to the customer by fax and mail.
w Update the Sales Management Tool Spreadsheet as Sales Orders are entered
Freight and Shipping
w Coordinate shipping schedules and appointments with all truckers related to product pick ups and deliveries and relay pertinent information to affected parties in an accurate and timely fashion.
Data Base Management:
w Ensure all customer information is accurate and complete in the Company’s accounting system.
w Coordinate all mailings to Brokers, Distributors and Retailers
w Responsible to maintain accurate and complete price lists
Administrative Support to the VP of Sales and RSM’s

Special Projects
w Manage various special sales related projects as they arise.
Excellent team work and communication skills are essential, as this position interfaces with all other departments and may co-manage sales interns. The Sales Coordinator processes all orders and initiates most sales documents and is, therefore, in an extremely sensitive position to affect the company’s revenues. The Sales Coordinator is a middle management position, which requires integrity, enthusiasm, initiative, responsibility and sales expertise, combined with a sense of ownership and commitment to excellence.

Salary: $32K - $38K + benefits + 15 vacation days + 5 personal days
